Terms and Conditions

Welcome to First Landlord Certificates London LTD. These Terms and Conditions govern your use of our services, including the booking of landlord safety certificates, electrical and gas inspections, PAT testing, energy performance certificates (EPCs), fire safety inspections, and other compliance-related services. By placing an order, requesting a service, or using our website, you agree to comply with and be legally bound by these Terms.

These Terms are designed to protect both you, as the client, and First Landlord Certificates London LTD, ensuring clear expectations, responsibilities, and limitations. If you do not agree to any part of these Terms, you should not book services or rely on any information provided by us.

About First Landlord Certificates London LTD

First Landlord Certificates London LTD operates across London and the surrounding boroughs, providing professional landlord compliance services. Our primary goal is to help property owners meet all relevant safety and legal obligations while ensuring the welfare of tenants.

We specialise in the following services: electrical inspections and certification (EICR), gas safety certification (CP12), PAT testing, energy performance certificates (EPC), fire risk assessments, smoke alarm and emergency lighting certification, fire alarm panel inspections, and EV charger compliance. Each service is performed by qualified professionals, including Gas Safe-registered engineers, certified electricians, and accredited inspectors.

All work is undertaken in accordance with UK legislation, industry regulations, and recognised standards to guarantee that our clients receive reliable, accurate, and legally compliant documentation. Our team also provides advice to ensure that your property meets ongoing compliance requirements.

Booking, Acceptance, and Contract Formation

When you request a service, you are making an offer to enter into a contract with First Landlord Certificates London LTD. A binding contract is only formed once we confirm your booking in writing, typically via email. This confirmation will include the services requested, the property address, and the scheduled inspection or testing date.

It is your responsibility to ensure all information provided is accurate, including property details, access instructions, and any prior compliance information. Inaccurate, incomplete, or misleading information may delay the service, result in additional costs, or require rescheduling.

All communications regarding service requests, amendments, or cancellations must be made in writing. Verbal agreements may not be considered binding unless confirmed by the company in writing.

Pricing and Payment Terms

Our service fees are quoted in British Pounds Sterling (£) and include applicable taxes unless otherwise stated. Quotations are based on the information provided at the time of enquiry and are valid for 30 days. Prices may be subject to adjustment if additional services are required, remedial work is necessary, or legislation changes impact compliance requirements.

Payments are structured as follows:

  • A deposit may be requested to secure a booking. Deposits are non-refundable once the booking is confirmed.
  • The remaining balance is typically payable prior to inspection, testing, or issuance of certificates unless otherwise agreed in writing.
  • Payment methods accepted include bank transfer, major debit and credit cards, and other methods mutually agreed upon.

Failure to pay the agreed amount may result in service delays, withholding of certificates, or cancellation of the booking. All payments must be cleared before certificates can be issued.

Inspections and Certification Process

Our inspections are conducted with precision and in full compliance with UK law. Electrical inspections (EICR) assess the safety of circuits, sockets, and wiring, highlighting defects or potential hazards. Gas safety inspections (CP12) verify that all gas appliances, pipework, and flues are safe and meet Gas Safe standards.

Energy performance certificates (EPCs) provide an energy efficiency rating based on building fabric, heating systems, and insulation. Fire safety inspections identify hazards and assess compliance with current fire safety regulations.

Certificates are normally issued within 24–72 hours of inspection completion, depending on the type of service and whether any remedial work is necessary. Certificates are sent digitally via email, but printed copies can be requested for an additional fee.

It is the client’s responsibility to maintain valid certificates, renew them before expiration, and provide copies to tenants, prospective tenants, or regulatory authorities when required. Certificates typically remain valid for 12 months, except where UK law specifies otherwise.

Client Responsibilities

To ensure inspections and certifications can be carried out safely and effectively, clients are required to:

  • Provide complete and accurate property information, including prior compliance history and known hazards.
  • Ensure safe, clear, and unrestricted access to all areas for engineers and inspectors at the scheduled appointment.
  • Move furniture or other obstacles that could impede the inspection or testing process.
  • Notify us of any existing defects or issues that may affect the inspection or installation.
  • Report any visible damage, discrepancies, or errors in certificates or reports within 7 days of issuance.

Failing to meet these responsibilities may result in delays, additional charges, or limited liability coverage. Our engineers reserve the right to postpone or refuse inspections if the property is unsafe or access is restricted.

Remedial Work and Additional Services

Inspections may identify defects or areas requiring remedial work to ensure compliance. While we can provide advice or additional services to address such issues, the cost of remedial work is the responsibility of the client unless explicitly included in the original quotation.

Additional services will be quoted separately, and work will only commence once payment is received or an agreed payment plan is in place. Clients are responsible for ensuring remedial work is carried out promptly to maintain property safety and legal compliance.

Cancellations and Rescheduling

Clients may cancel or reschedule appointments by providing at least 48 hours’ notice in writing. Cancellations made with less than 48 hours’ notice may incur a fee to cover administrative and engineer call-out costs. Repeated short-notice cancellations or missed appointments may result in the refusal of future service bookings.

First Landlord Certificates London LTD may also need to reschedule inspections due to unforeseen circumstances such as an engineer’s unavailability, adverse weather, or safety concerns. In such cases, alternative dates will be offered as soon as possible.

Turnaround Times and Delays

While we aim to deliver certificates promptly, turnaround times are subject to variables including property condition, scope of work, and regulatory compliance requirements. Certificates are generally issued within 24–72 hours, but delays can occur due to unforeseen circumstances such as additional testing requirements or third-party approvals.

Clients are advised to plan ahead, especially when certificates are required for tenancy agreements, legal submissions, or regulatory deadlines.

Liability and Limitations

First Landlord Certificates London LTD exercises all reasonable care in the performance of inspections and issuance of certificates. However, the company is not liable for:

  • Financial losses, lost rental income, or penalties resulting from non-compliance.
  • Defects or hazards that were not apparent during the inspection.
  • Issues caused by incorrect information provided by the client.

Our total liability for direct loss is limited to the fees paid for the specific service. This limitation does not apply to liability for death or personal injury resulting from our negligence. Clients agree to indemnify and hold the company harmless against claims arising from inaccurate property information, delayed remedial work, or misuse of issued certificates.

Data Protection

We process personal data, including contact information, property details, and service history, strictly in accordance with UK GDPR and other applicable data protection laws. Data is used to facilitate inspections, issue certificates, and maintain accurate service records.

Personal information is not sold to third parties. Certificates may be shared with tenants, regulatory authorities, or third parties when necessary to fulfil legal obligations or deliver our services.
